Metabeta is a data platform for investors, startups, and recruiters. We help them to find the best investments, prospects, and talent, using in-depth data analysis and AI. We are a small distributed team (Romania, Chile, Poland, and Pakistan). Our founders, Marius and Vlad are serial entrepreneurs and have worked and taught at MIT, Singularity University, Techstars, and Startup Chile. In 2021, we raised a seed round to build the leading data intelligence platform for tech investments.

What we look for

As an operations assistant, you will be an essential part of our functional sanity despite being an entry-level position. You will be in charge of customer support, bookkeeping, payroll, office admin, coordination of suppliers, and generally everything else that is vital to our performance. This is the perfect role for someone who is a bit compulsive with organization, productivity, and efficiency. Also, this is a great opportunity if you want to get into the tech industry and grow later into a sales, marketing, project management, or anything else.

The position is based in Iași, Romania (where our headquarters is), but most tasks can be done remotely. Here are some of the requirements:

  • You are organized and able to organize others. Think cat herding.
  • Good Excel/Google Sheets skills (do INDEX and MATCH ring a bell)? Accounting/bookkeeping skills would be great, although you can learn them.
  • Excellent command of English (spoken/written) because our customers are international and you will deal with customer support.
  • Experience is not required but welcome (especially as an office assistant, bookkeeper, customer support, etc.).
  • Also, you don’t take yourself too seriously, hopefully.

Responsibilities

  • Bookkeeping & payroll. You will collect all invoices and bills, handle most payments (including salaries & contractors), and log everything in our internal system. You will collaborate closely with our accountant and keep all paperwork in order. Each week, you will share the financial metrics with the whole team (we are transparent about it).
  • Customer support: You will reply to all customer support tickets, make sure the product team knows about any pains or bugs, and have calls with customers whenever needed. Our knowledge base also needs updating frequently.
  • Supplier management: We work with various contractors and you will need to manage their deadlines, quality, contracts, and invoicing.
  • Office administration: Keep the house in order, from documents to contracts, coffee beans, and good vibes.
  • Research & learning: You will also help with various research tasks that might eventually become a learning opportunity and an entry point to another position in the company.

Your first 90 days

In the first week, expect to:

  • Be onboarded into Metabeta.
  • Receive access to the tools that we use.
  • Get to know the rest of the team.
  • Learn about our value proposition, story, processes, and goals.
  • Get familiar with the industry specifics.
  • Learn about our products and customers.
  • Understand our admin process, and tools.
  • Watch the first season of the “Silicon Valley” TV show.

In the first month, expect to:

  • Set your OKRs (objectives and key results) and activity metrics.
  • Learn how to use Hubspot, Confluence, Jira, and other tools.
  • Shadow the first customer support calls to understand how we approach customer conversations.
  • Learn the process for bookkeeping, supplier management, customer support, and hit 1-month objectives.
  • Watch the first season of the “Billions” TV series.

In the first three months, expect to:

  • Get full speed as an operations assistant.
  • Become proficient in using our tool stack and in building the required reports and documents.
  • Be fully autonomous in critical bookkeeping and legal tasks.
  • Document frequent operations in SOPs (standard operating procedures).
  • Become loved by the team.

After the first three months, expect to:

  • Continuously learn and improve.
  • Suggest, implement and experiment with new operational activities.
